Organize a mobility project for certification purposes

Prepare and present information about your mobility project

Develop the presentation of the objectives, organization, etc. that is adapted to the different target audiences and actors involved, both in content (key message), form (channels of dissemination,) and methods (how when, where, by whom).

For the host partner: Tell your partner the learner profiles you wish to target. Present the training and / or certification framework to the host organization; make sure that your interlocutors understand it well, translate it into English or even better into the language of the host country.

Agree with the host partner on the learning outcomes to be achieved during the mobility period. The learning outcomes are grouped in a coherent way(unit of learning outcomes). Define beforehand with the educational team the competences to be acquired during the mobility (according to the certification reference material) and elaborate or get acquainted with the tools for the assessment of competences. How will mobility be assessed and validated?

Organize information to candidates and, if applicable, to sending companies

It is also a question of convincing and involving the learners and the companies in the project. For example, for the sending companies, it is important to know their responsibilities and the steps to be taken, what support they can count on to carry out the steps, what is the added value of mobility…

Organize the application and selection of learners

  • Prepare a learner application package (online or hard copy)
  • Check and collect the documents required for participation: CV, cover letter, employer’s authorization, insurance, ID…
  • Inform the selected learners and their sending company (specify the objectives and skills to be acquired during the mobility)

Prepare the reception of learners together, between partners

  • Formalize, validate and fill in the content of the pedagogical contract (skills/objectives) and prepare and finalize the content and methods/tools of the evaluation; sign the pedagogical contract
  • Appoint and prepare the accompanying persons and define and validate their role together.

Identify, inform and prepare potential host companies

  • Raise awareness, identify host companies and organize the presentation of the objectives of the mobility
  • Inform, select host companies. The host companies will need to know the profiles and expectations of the learners to be hosted, the tasks, gestures and products to be worked on and its role in the evaluation…
  • Organize the signature of the pedagogical contract by the companies (sending companies if applicable) and by the host company, along with its annexes (evaluation grid, individual results statement).
  • Name the contact, a tutor, in the company.

Prepare the participants

  • Write, finalize and transmit practical information (travel, transport, accommodation, logistics, insurance, etc.) for the participants
  • Give details about the program / stay
  • Organize a linguistic and cultural preparation
  • Present the host companies and the working conditions, hours and pace of work in the host country
  • Inform about the project’s funders
  • Present the objectives of the mobility (what is expected during the mobility) and present the final evaluation

Organize the reception and installation of the learners (accompaniment in the companies) - implement the follow-up

  • Make sure that the working and training conditions of the trainees comply with the requirements of the contractual documents and, if necessary, regulate the conditions for the implementation of the mobility, especially in the company
  • Plan a mediation (if solicited by the host structure and/or the learners / host companies)

Organize documentation and evaluation of learning outcomes with learners / host companies

  • Plan and organize the (individual) assessment in the company
  • Carry out the (individual) evaluation with the host company and complete with the tutor the skills evaluation grid and/or the individual statement of results and/or accompany the completion/signature of the Europass document
  • Make sure you sign the complement of the pedagogical contract / certificate of attendance and participation and get the receipts

Organize a debriefing and assessment with the participants (degree of satisfaction) in the presence of the companies and the host partner at the end of the stay

  • Ask learners about their satisfaction, experience
  • Ask host companies about their satisfaction, points for improvement

Transmit the results of the evaluation to the sending organization and validate (or not) the learning outcomes (according to the certifier or the internal process)

  • The sending partner must validate the documents transmitted by the host partner at the end of the mobility period; (if applicable) it transmits them to the certifying authority;

Establish an assessment of the project with all the partners to communicate, promote, disseminate

  • Remember to value the commitment of the sending and host companies
  • Organize an assessment of the mobility and the organization, in order to renew, perpetuate, develop and, if necessary, adjust and improve the next mobilities (take corrective measures, renegotiate objectives, roles, etc.)
  • Ask the sending companies and/or trainers (satisfaction questionnaire / improvement proposals)
  • Communicate and value the experiences, the results, the impact.

Echangez avec vos partenaires sur l’organisation du système de formation,

les diplômes, les métiers … Une visite préparatoire est recommandée pour bien connaître les capacités et contraintes des partenaires d’accueil, de bien connaître l’environnement et les entreprises d’accueil.

Attention : ce que vous communiquez vous engage

et doit correspondre à ce vous pouvez réaliser, afin d’éviter des déceptions des participants plus tard.

Prévoyez des objectifs réalistes et mesurables,

exprimez-les par des indicateurs mesurables (quantitatif et qualitatif) pour communiquer sur les résultats et l’impact de votre projet.

Prévoyez un plan B

et / ou faites preuve d’une certaine souplesse tout en restant bien en phase avec les référentiels.

N’oubliez pas de demander si vos apprentis doivent posséder certains prérequis

pour satisfaire à diverses obligations et travailler dans les entreprises d’accueil du pays concerné.

Prévoyez un plan B !

Il se peut que les objectifs que vous aurez sélectionnés ne puissent pas être travaillés avec le partenaire et/ ou l’entreprise. Il faudra alors vous adapter et prévoir une certaine souplesse par rapport à ce que propose le partenaire. Il faut rester ouvert à des propositions de sa part tout en veillant à rester dans le cadre du référentiel de formation.

Prévoyez une information à l’entreprise d’envoi le plus tôt possible sur la mobilité,

Idéalement dès la signature du contrat de formation.

Vérifiez avec vos partenaires les informations nécessaires

à communiquer aux entreprises d’accueil sur les candidats sélectionnés. Renseignez-vous si les participants doivent posséder certains prérequis pour travailler dans les entreprises d’accueil du pays concerné (âge, prérequis linguistique…).
Y a-t-il besoin d’autorisations spécifiques ?
Le cas échéant, pensez également à transmettre des informations sur l’entreprise d’envoi, sur le statut d’apprenti, le rythme d’alternance et les conditions de travail et de formation …

Transmettez les CV

et informations sur les participants de manière à donner suffisamment de temps au partenaire d’accueil pour identifier et organiser le matching avec les entreprises d’accueil ;

Informez – mettez en contact les entreprises d’envoi avec les entreprises d’accueil

(taille, spécificité, etc.). Planifiez par exemple une mobilité hybride – une présentation à distance entre les tuteurs, présentation des apprenants aux entreprises d’accueil etc.

Impliquez les participants et les entreprises dans la préparation

(recherche d’information sur le pays d’accueil, sur les conditions de travail, horaires, validation des objectifs pédagogique par l’entreprise d’envoi, préparer la communication sur l’expérience …).

N’oubliez pas de briefer et outiller les accompagnateurs

(les attestations et justificatifs à collecter, les visites des entreprises …)

Un premier accueil chez le partenaire d’accueil

ou du temps plus important dans le centre de formation peut être utile voire nécessaire avant d’accompagner les apprenants dans les entreprises, organiser les trajets entreprises – hébergements etc. et de s’assurer globalement des conditions d’accueil.

Rencontrez le tuteur

échangez sur le contrat pédagogique et la compréhension, la faisabilité du contenu ; expliquez les grilles/outils de l’évaluation finale

Communiquez sur le projet pendant la mobilité

et recueillez les témoignages : film par des apprentis, témoignages des participants, des entreprises d’accueil

Convenez et assurez un débriefing avec les apprenants et le tuteurs,

en cohérence avec la durée de la mobilité, organisez un échange et un retour régulier (à distance si nécessaire)

Assurez-vous globalement du bien-être des participants

Echangez régulièrement avec les participants pour détecter les problèmes et éviter l’interruption du séjour

Faites participer les apprenants à la présentation

et valorisation de l’expérience de la mobilité, (book sur l’expérience, photos, film avec leur smartphone …)

Vous pouvez organiser la validation / reconnaissance par différentes modalités :

présentation d’un rapport de l’apprenant devant un jury, débriefing avec les apprenants, organisation d’un test, observation et présentation sur le poste de travail …

Prévoyez notamment d'informer l’entreprise d’envoi

et de rendre compte des résultats – faites le participer au jury

Proposez aux maîtres d’apprentissage et tuteurs de participer eux-mêmes

à une mobilité (accompagner une mobilité, une visite préparatoire / une mobilité du personnel) ;

Pensez à la réciprocité

et proposez-leur d’accueillir un apprenant au retour

Délivrez les Europass lors de la remise des diplômes en présence des entreprises,

organisez les témoignages, exposez / affichez les résultats au centre de formation, utilisez les ERASMUS Days pour en parler, communiquez sur les réseaux sociaux, dans la presse locale, exploitez les questionnaires Erasmus+, proposez d’autres questionnaires spécifiques, valorisez le travail sur l’outil linguistique en ligne (EU Academy), affichez les comptes-rendus des participants…

Don't forget to ask if your apprentices need to have certain prerequisites

to meet various obligations and work in host companies in the country concerned.

It may not be possible to work on the objectives you have selected with the partner and/or the company. You will then have to adapt and allow for some flexibility with respect to what the partner proposes. It is important to remain open to proposals from him/her, while ensuring that the training framework is respected.

Plan to inform the sending company as soon as possible about the mobility,

Ideally as soon as the training contract is signed.

Check with your partners for the necessary information

to communicate to host companies about the selected candidates. Find out if participants have any prerequisites to work in host companies in the country concerned (age, language requirements, etc.).
Do I need specific authorizations?
If applicable, also remember to provide information about the sending company, the status of the apprentice, the work-study schedule and the working and training conditions...

and information about the participants in order to give the host partner enough time to identify and organize the matching with the host companies;

Inform - connect sending companies with host companies

(size, specificity, etc.). Plan for example a hybrid mobility - a remote presentation between tutors, presentation of learners to host companies etc.

Involve participants and companies in the preparation

(search for information on the host country, on the working conditions, schedules, validation of the pedagogical objectives by the sending company, preparing the communication on the experience...).

Don't forget to brief and equip the coaches

(certificates and supporting documents to be collected, company visits ...)

A first reception at the host partner

or more time in the training center may be useful or even necessary before accompanying the learners to the companies, organizing the travel between the companies and the accommodation, etc., and to ensure the overall reception conditions.

Meet the tutor

discuss the educational contract and the understanding and feasibility of the content; explain the final evaluation grids/tools

Communicate about the project during mobility

and collect testimonials: film by apprentices, testimonials from participants, host companies

Agree and debrief with the learners and the tutor,

in coherence with the duration of the mobility, organize an exchange and a regular return (at a distance if necessary)

Ensure the overall well-being of the participants

Exchange regularly with the participants to detect problems and avoid interruption of the stay

organize testimonies, display the results at the training center, use ERASMUS Days to talk about it, communicate on social networks, in the local press, use the Erasmus+ questionnaires, propose other specific questionnaires, promote the work on the online language tool (EU Academy), display the participants' reports...

Inform the sending company

as soon as possible, ideally when the apprenticeship contract is signed, or when the training schedule is published, that a period of mobility is planned in the training program.

Europass mobility

identifies different types of possible competencies and this can help to inform the educational agreement as well. Think of formalizing objectives as precisely as possible, measurable and especially realistic.

A tutor in the host company must be appointed.

Even if the different headings of the Europass mobility document provide a framework for the tutor to document the work placement period, it is advisable to check with the tutor if he/she needs to be accompanied to fill in the document. Depending on the duration of the mobility, a regular follow-up during the internship by the tutor to review the situation with the student is recommended before a final debriefing.

Provide feedback

debrief with the sending employer. Beyond the evaluation aspect, the document, filled out with care, can be useful to give feedback to the sending company.
